Hire Controller – Welwyn

We are looking to strengthen our existing team and are recruiting a Hire Controller for our London Depot based in Welwyn Garden City..

The role holder will be responsible for the day to day running of the planner and drivers, both operated and self-drive where applicable, working with the Hire Controllers and Regional Hire Manager to oversee office and driving staff whilst maintaining the companies 4 core values of Wowness, Trust, Together Matters, and Safety First.

Key responsibilities:

  • Run the planner, allocate the work daily/weekly
  • Ensure routing is carried out with best utilisation to conserve fuel and maximise profitability.
  • Manage the standing order list ensuring the correct PO’s are relevant to prevent invoice queries
  • Ensure that our drivers comply with the WTD at all times
  • Ensure drivers are using the correct standpipes and diesel locations
  • Liaise with drivers for holiday requests ensuring enough drivers are available to cover the work
  • Answer the phones to take orders

.Ensure that all customer relationships are maintained to a high standard and that all operatives carry out their duties in a timely and safe manner

  • Work closely with the other depot’s in the network to ensure work is covered effectively putting safety and efficiency first
  • Ensure all jobs have the correct information before they go to invoicing to reduce invoice queries, including correct account number, order number and signature on proof of service.
  • Maintain good relationships with our staff and customers to promote Wowness to our service provision across the region
  • Liaise with the workshop to get the vehicles in for inspections and repairs
  • Maintain KPI reporting and question/challenge any anomalies that do not look correct
  • Raise purchase orders for tipping and ensure recharges are reconciled and recharged
  • Ensure driver’s timesheets and wage reports are completed, signed off and sent to payroll department

 

Experience & Skills

  • Previous experience in a similar role would be advantageous
  • Have great communication skills as this is a customer facing role
  • IT Literate – with strong Excel ability
  • Be organised with exceptional time management skills
  • Be willing and open to shape and develop the role
  • Attention to detail
  • Be able to build relationships demonstratable by experience

Job Type: Full-time

Salary: Up to £27,000.00 per year

Fleet Administrator – HQ Bardon

We are looking to strengthen our existing team and are recruiting for a Fleet Administrator based at our new Head Office in Bardon, Leicestershire.

The Role:

Provide a comprehensive administrative support for the company’s fleet of vehicles ensuring accurate and timely data is recorded on the fleet management system.

Key responsibilities:

  • Monitor and renew the RFL for all company assets
  • Monitor MOT test completion and collate test certificates
  • Updating and monitoring the MID
  • Management of trade plates including; ordering, allocation and renewal
  • Co-ordinating responses to PCNs received by the company
  • Ensuring vehicles are registered for local compliance schemes such as LEZ, ULEZ, Congestion Charge, Clean Air Zone, DVS, Merseyflow, Tyne Tunnel etc.
  • Processing mid life vehicle movements and re-allocations
  • Adding/removing vehicles from the company’s operators licences
  • Processing new vehicle orders and liaising with manufacturers on delivery dates
  • Collating and ensuring all paperwork is present for new vehicle orders
  • Inputting new vehicle information on the company’s Fleet Management System
  • Processing updates to hire contracts such as RPI hire rate increases, changes to payment profile etc.
  • Assisting with the co-ordination of vehicle off hire and disposal administration

 

Skills & Experience:

  • Strong administrative skills – demonstratable by experience
  • Attention to detail is key
  • Confident communicator – you will be dealing with people at all levels of the business
  • Strong telephone skills
  • Team orientated
  • Willingness to develop the role
  • IT literate with excellent Excel skills
  • Confident in navigating systems to obtain information
  • Full clean driving licence is desirable as this role may involve occasional travel

Senior Fleet Admin – HQ, Bardon

We are looking to strengthen our existing team and are recruiting for a Senior Fleet Administrator based at our new Head Office in Bardon, Leicestershire.

Key responsibilities:

  • Managing a team of administrators to ensure that all fleet related tasks are completed in a timely manner.
  • Work with the Fleet Manager to ensure the key tasks listed below are completed to the highest standards possible:
  • Co-ordinating the contract hire vehicle off hire process from notice through to sale and notification to relevant legislative bodies
  • Co-ordinating vehicle disposals for the spot rental and operated hire fleets
  • Processing mid life asset/contract changes such as payment terms, hire rates and internal allocation
  • Monitor DVLA fleet records and ensuring they correspond to our internal Fleet Management Systems
  • Oversee the loading of new assets to the Fleet Management systems and disposal of old assets
  • Monitor processing of PCNs and RFL in the Fleet Management System
  • Provide training and support to the Fleet Administration Team on various software systems and procedures.
  • Ensure the Fleet Administrators are trained in all aspects of the Fleet Department to ensure continuity of service to internal stakeholders during periods of annual leave / sickness.
  • Fulfil the role of AED (Authorised Examiner Delegate) for the company’s MOT Centre authorisation
